1. Who we are
SoloDeck (“we”, “us”, “our”) is a business management platform built for Canadian freelancers and sole proprietors. Our registered business operates in Canada at 4 Baffin Crescent, Brampton, Ontario. You can reach us at hello@solodeck.ca.
2. Information we collect
We collect information you provide directly:
- Account information: name, email address, and password (managed by our authentication provider)
- Business profile: business name, address, phone, website, GST/HST number
- Client data: names, email addresses, company names, and provinces you enter for your clients
- Financial data: invoice amounts, expense receipts, and income figures you enter
- Payment information: bank account details for payouts (collected and stored by Stripe — we never see raw banking credentials)
- Usage data: pages visited, features used, and error logs (via our hosting provider)
3. How we use your information
- To provide and operate the SoloDeck platform
- To generate invoices, contracts, and tax worksheets on your behalf
- To process payments through Stripe Connect
- To send transactional emails (invoices to clients, payment notifications to you)
- To calculate GST/HST, T2125, and other Canadian tax obligations
- To improve our service and fix bugs
- To communicate product updates (you may opt out at any time)
4. Who we share your data with
We share your data only with the following categories of third-party service providers, each bound by their own privacy commitments:
- Authentication provider — manages account login and session security
- Stripe — payment processing and connected account management (PCI-DSS Level 1 certified)
- Cloud hosting & infrastructure — servers, edge network, and database storage
- Transactional email provider — delivers invoices and notifications to your clients on your behalf
- Anthropic — AI receipt scanning and document generation (receipt images and project briefs only; no financial totals or client PII transmitted beyond what you explicitly submit)
We do not sell your personal information to any third party.
5. Data storage and location
Your primary data is stored in the Canada Central (Montreal) region, keeping your financial records within Canadian borders. Authentication data is managed by our authentication provider on servers subject to US privacy law. Payment data is processed and stored by Stripe under PCI-DSS standards.
6. Data retention
We retain your data for as long as your account is active. Financial records (invoices, expenses) are never hard-deleted — they are archived to preserve audit trails required under Canadian tax law. If you close your account, we will anonymize your personal information within 90 days while retaining aggregated, non-identifiable records as required by law.
7. Your rights (PIPEDA)
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Withdraw consent (subject to legal obligations)
- File a complaint with the Office of the Privacy Commissioner of Canada

8. Cookies
We use essential cookies only: session authentication and preference storage (dark mode). We do not use advertising or tracking cookies. No cookie consent banner is displayed because we do not engage in cookie-based tracking.
9. Security
All data is transmitted over HTTPS/TLS. Database connections use SSL. Passwords are never stored on our servers — authentication is managed by a dedicated identity provider. Payment credentials are handled exclusively by Stripe and never touch our servers. We apply rate limiting, audit logging, and ownership-scoped database queries on every request.
10. Changes to this policy
We may update this policy from time to time. Material changes will be communicated by email or in-app notice at least 14 days before taking effect. Continued use of SoloDeck after that date constitutes acceptance of the updated policy.
